If your HubSpot portal has more than 50 workflows in it, you cannot tell what all of them do. Nobody can. That is not a knock on you or your team. It is what happens when portals grow, admins come and go, and automations pile up faster than anyone documents them.

Visualizing HubSpot workflow connections means seeing, on a single map, which workflows enroll into other workflows, which properties trigger enrollments, and which downstream automations fire as a result, something HubSpot's native list view was never built to show. What HubSpot's Workflow List Shows You (and What It Doesn't)

HubSpot's list view does a few things well. You can click into any individual workflow, see the actions inside it, and check whether a colleague left a note. What it does not do is show you how workflows relate to each other.

A portal typically has three kinds of workflows in play: simple property-setters, workflows that enroll directly into other workflows, and workflows triggered by list membership. HubSpot shows you each of these in isolation. It does not draw the line between them. If a deal workflow sets a contact's lifecycle stage, and three separate contact workflows are watching for that exact change, you will not find that relationship anywhere in HubSpot's UI. You would have to know to go looking for it.

That gap is the entire reason a dependency map exists as a category of tool.

Mapping Workflows by Object Type

On the Howly canvas, workflows are broken out by object type: contacts, deals, companies, tickets, and any custom objects in the portal. Instead of one long list, you get a visual cluster for each object, with connection lines drawn wherever one workflow's action triggers another workflow's enrollment.

Take a deal workflow named something like "Closed Won: Customer Update." Opening it on the canvas shows exactly what it does: when deal stage changes to Closed Won, it updates the associated company to Customer and notifies the deal owner. The enrollment trigger is deal stage equals Closed Won. The actions are a lifecycle stage update and an internal notification.

The canvas shows something HubSpot's list never will: this single workflow starts three other workflows, because those three are all watching for lifecycle stage to change to Customer. Click into the sidebar and you can open each downstream workflow directly. One sends a welcome email and creates a kickoff call. Another adds the contact to an "Active Customers" list, which itself feeds a separate customer-only nurture.

You can also toggle every connection on the canvas at once. That view surfaces things like two deal workflows independently writing into the same set of contact workflows, and workflows whose connections are inactive or no longer relevant, flagged in red so you know not to chase them.

Where Portal Health Scores Come From

Visualizing connections is one layer. Scoring the health of the portal is the other. Howly's Health Checker analyzes every workflow and produces a score based on broken enrollments, duplicate actions, empty workflows, and stale workflows.

An empty workflow is easy to miss in a list of 76 and obvious the moment you click into it on the canvas. A workflow named "Companies Created as Prospect" that contains zero actions is dead weight. The move here is not to guess and delete it yourself. Leave a note directly on the workflow: "This workflow can safely be deleted," tagged as low risk. Anyone on your team, or an external consultant working the portal after you, sees that note the next time they log in and knows exactly what to do without opening a single ticket to confirm.

Duplicate actions show up the same way. A workflow scoring 81% can still be writing to the same property, say an ICP tier field, through three separate branches that all land on Tier 3. That is not a broken workflow. It is a consolidation opportunity, and it is the kind of thing that is invisible until you can see every action side by side.

Having reviewed portals ranging from a few dozen to several hundred workflows across client engagements, the pattern holds regardless of size: broken enrollments, empty workflows, and automations still active from three years ago accumulate at roughly the same rate. The fix is always the same. Find them, flag them, consolidate or retire them.

Running an AI Audit on the Full Portal

Beyond the visual layer and the health score, Howly runs an AI audit across every workflow in the portal. Once it finishes reading the portal, it returns gaps, issues, opportunities, and direct recommendations, not a generic checklist, but findings specific to what is actually in the account.

A real output looks like this: the portal shows signs of automation sprawl. There are 76 workflows total, but only 64% are active. Deal-to-contact lifecycle automation is strong, but there are signs of technical debt: several inactive workflows, test workflows still marked active, and abandoned scoring and enrichment automations that nobody turned off.

Under issues, the AI flags things like multiple duplicate lead-routing workflows, active test and obsolete workflows still live in the portal, and two separate duplicate MQL workflows creating conflicting logic. Under gaps, it surfaces an abandoned lead-scoring infrastructure and inconsistent nurture campaign activation. Under opportunities, it credits what is working: solid deal-stage automation coverage and reliable ticket management workflows.

The recommendations section is where the audit becomes actionable: audit and deactivate every test, cloned, and explicitly marked obsolete workflow before doing anything else. That is a specific, prioritized instruction, not a suggestion to "review your automations."

What the Downloadable Report Contains

Everything above feeds into a single audit report, generated from the Workflow Health Check panel and updated in real time as the portal changes. That report is what actually goes to a client, a boss, or a team, and it is built to stand on its own without someone narrating the canvas.

Executive summary. A portal reviewed in this walkthrough returned 49 active workflows and 27 inactive, with 4 critical issues, 26 warnings, and 80 items flagged for review. Critical issues here included four broken enrollments and 39 standalone workflows, along with 14 duplicate actions, 3 stale workflows, and 3 empty workflows.

Key findings. Every issue is sorted into critical, warning, or info. Broken enrollments are critical and get reviewed first. Info items, like inactive workflows or possible duplicates that have already been archived, do not affect the score but stay visible in case they were intentionally shelved rather than abandoned.

Workflow analysis by object type. A typical breakdown shows the majority of workflows sitting on the contact object, in this case 42 contact workflows against 19 deal and 8 company workflows. That skew is normal. Company and ticket workflows tend to be operational, single-action automations. Contact workflows carry most of the nurture and lifecycle logic, so they accumulate the fastest.

Most-used properties and the Impact Analyzer. The report surfaces which properties get touched most across the portal. Lifecycle stage is almost always at the top. In one review, 26 workflows touched lifecycle stage: nine as the enrollment trigger, seventeen as the action being set. Clicking into that property in the Impact Analyzer breaks it down further, workflows that enroll on lifecycle stage equaling Customer, versus workflows that set lifecycle stage to something like Marketing Qualified Lead only when a behavior score passes a threshold. This is where cross-departmental chains surface: a deal workflow sets lifecycle stage to Customer and lead status to Qualified, which triggers a marketing nurture, which on completion sets lifecycle stage to MQL, which enrolls into a sales sequence that sets the contact to SQL. None of that chain is visible from any single workflow's edit screen. It is only visible when every connection across every object type is mapped in one place.

Connections summary. The report totals this out at the portal level: 36 total connections, 28 connected workflows, 48 isolated workflows, and 6 distinct connected clusters. That single line tells a client more about portal complexity than a workflow count ever could.

Workflow inventory. Every workflow, listed by status, object type, action count, and last-modified date, active workflows first, inactive after. This becomes the reference document for anyone deciding what to build next, archive, or delete.

SOP and documentation. Any note left directly on a workflow, like the "safe to delete" flag on the empty prospect workflow, is pulled into this section automatically. Leaving documentation once, at the point of discovery, means it travels with the report instead of living in a separate Google Doc that gets out of sync within a week.
